Kent State's Clinical Compliance Policy, item by item
Kent State's College of Nursing requires every BSN, MSN, DNP and post-master's certificate student to be fully compliant with its Clinical Compliance Policy before registering for a first practicum course. The policy lists five items, runs through a third-party tracking vendor and puts the costs on the student. Staying current afterward matters just as much, because a lapsed item stops your hours from counting.

What the policy covers and who it applies to
The Clinical Compliance Policy appears in the 2026-2027 Kent State catalog, under the College of Nursing. It applies across the college's programs, from the BSN through the MSN, the post-master's certificates and the DNP, and one deadline governs them all: full compliance ahead of registration for your first practicum course.
Documents go to a third-party tracking vendor rather than straight to the college, and the student pays every compliance cost, from the vendor account to the checks, exams and tests. The placement costs page sets out who pays for what across a whole program.
Registration is gated twice over. Graduate practicum courses already need special approval to register, and the compliance requirement sits on top of that approval. An incomplete item is not a paperwork footnote; it can hold back the very course your year was planned around.
The five required items
The catalog names five items. Each carries its own detail, and two of them have full pages on this site.

The tracking vendor for BSN and graduate students
For BSN students the vendor has a name. The BSN handbook identifies Castlebranch, which keeps each BSN student's CPR card, insurance, immunization and physical records and background check results on file, and it says clinical sites may be given access to those records.
For graduate students, Kent State's public documents describe a third-party tracking vendor without naming it. The working instructions, compliance deadlines included, are posted inside the GSN Canvas course under Practicum Information, a space open only to enrolled graduate students. Compliance monitoring is handled by the college's Office of Academic Advising and Student Services. If an upload is rejected or a deadline is unclear, that office and your concentration coordinator are the people to ask.
RN-to-BSN students work under a lighter version. Their handbook calls for background checks and the immunization form only when a site requests them, and students carry their own health insurance.
Working backward from your first practicum
Compliance, the first-practicum orientation and the preceptor search run side by side rather than in sequence. One workable order:
- At admissionIf you cannot or will not be vaccinated, tell the Office of Student Services now. Set up the vendor account once instructions arrive.
- Around orientationOrientation for the first practicum is mandatory and takes place four to six months ahead of that course. Start the slow items then: background checks and provider-signed forms.
- The semester beforeWork on the site and preceptor with your concentration coordinator. Book the physical so it is still within one year when you start at the site.
- Before registeringConfirm every item shows complete with the vendor, then request the special approval the practicum course requires.
- For the rest of the programRenew annual items before they expire and keep your license current.

Staying compliant after the first practicum
Compliance is a standing condition, not a one-time gate. The MSN Student Handbook points to a yearly TB test and a flu vaccine as the items most likely to run out mid-program, and no practicum hours count while any item has lapsed. Time at the site during a lapse does not go toward your total.
The BSN handbook states the undergraduate consequence plainly: a student who falls out of compliance mid-semester cannot attend clinical, and those absences are unexcused.
Your license is watched as well. The college's advising and student services office verifies it at admission and checks again at each renewal, and you must report any change in license status.
The mistake to avoid: letting a TB test or flu vaccine expire in the middle of a term. Put each expiry date in your calendar with a reminder a month ahead.
Exemptions and what agencies add on top
If you cannot or will not be vaccinated, the catalog asks you to contact the Office of Student Services at admission. It also warns that some clinical agencies may then refuse the student, which can delay graduation. If this applies to you, raise it before any site search begins, so candidate sites can be screened with it in mind.
Agencies can also ask for more than the policy lists. Kent State's BSN materials mention agency drug screens, yearly background rechecks and computer training, and under the university's 2015 template affiliation agreement, a facility can require its own background or drug testing. Who pays for Kent State clinical compliance?
Students do. The catalog says students pay all costs of the Clinical Compliance Policy, which covers the tracking vendor, background checks, exams, titers and vaccines. Separately, Kent State provides liability insurance during graduate practicum courses, with a deductible, and personal liability coverage is optional.
What happens if my Kent State compliance lapses mid-semester?
No practicum hours count until the lapsed item is renewed, according to the MSN Student Handbook, which names the yearly TB test and the flu vaccine as the usual culprits. BSN students who fall out of compliance cannot attend clinical, and those absences are unexcused. Renew early and upload proof promptly.
